Business problem

Pricing and appointment information was managed manually across WhatsApp, verbal bookings, and ad hoc notes. Every price change had to be repeated in each channel, creating delay, inconsistency, and a heavy admin load for the owner.

Solution built

Airtable held the pricing and client data as the source of truth; Tally captured appointment requests; Make.com synchronised price updates outward via API; WhatsApp Business supported client messaging without requiring a new channel.

Adoption finding: the client did not continue using the system after handover, showing that technical delivery and sustained adoption required separate attention.

The academy needed a parent-facing journey that explained age-appropriate programmes, supported comparison and trust, and moved interested families from programme discovery to registration or enquiry.

  • Use familiar contact routes — WhatsApp and email
  • Show payment instructions immediately after registration
  • Build trust through responsive design, social proof and a data-protection notice
Solution built

Built a single-page parent journey covering programmes, age groups, locations, testimonials, gallery and contact. The registration flow captures intent, pre-fills the relevant programme, validates input, and shows payment guidance with a generated QR code. Info-pack requests capture an email before delivery; WhatsApp links support direct conversation.

Built an Astro site with a reusable base layout and a dedicated printable information-pack route. Structured sections cover curriculum, safety, location, gallery, birthday parties and testimonials. The info pack turns operational detail into a decision-support document for admissions conversations.
